Rent and fees, invoiced on schedule

Rent and management fees run as recurring invoices — weekly, monthly or yearly — issued on their date, numbered, with the PDF emailed, or left as drafts to check first. One schedule covers every tenant paying the same amount, one invoice each; a different rent gets its own schedule. Payments are recorded as they arrive, part payments included, and late ones are marked overdue so you can send the reminder.

Every repair from reported to fixed

Keep repairs on a project board: a card per job — the leaking tap in flat 4, the boiler service, the stairwell light — moved from reported to booked to done, with whoever's handling it assigned, a deadline that turns amber, then red, and the photos attached. Assigning a card emails the person it's for, and the comment thread keeps the back-and-forth with the job instead of in someone's phone.

Contractors and their bills

Plumbers, electricians and cleaners are suppliers. Their invoices go in as expenses with the document attached, so what each contractor has cost you this month or this year is a figure on their record, and the dashboard sets your income against your costs month by month for the business as a whole.

Each building's paperwork in one place

Signed leases, inspection reports, safety certificates and move-in photos attach to the tenant's or owner's record, to the repair card or to a building you keep as a location, up to 50 MB a file. When a deposit dispute lands two years later, the move-in photos are on the record they belong to rather than in an old email thread.

FAQ

Property management — common questions

Everything you need to know about ERPFlow. Can't find the answer? We're here to help.

Contact us
Does ERPFlow keep tenancy and lease records?
Not as tenancies. ERPFlow has no lease fields — start and end dates, rent reviews, deposits — and no rent ledger per unit. Tenants and owners are customer records, the signed lease is a file on that record, and the rent is a recurring invoice. A manager with hundreds of units and frequent turnover will want dedicated property software.
Can ERPFlow collect rent automatically?
No. ERPFlow issues rent invoices on a weekly, monthly or yearly schedule, but it never charges a card or a bank account, so you record each payment when it arrives, part payments included. Unpaid invoices are marked overdue, and you choose when to send the reminder email.
Can I see costs per property?
Not per property. Contractor bills are expenses recorded against the contractor, so you can see what each one has cost you, and the dashboard sets income against costs for the business as a whole. ERPFlow doesn't split costs by building, and it doesn't produce owner statements.
Can tenants report repairs through a portal?
No. ERPFlow has no tenant or owner portal. Repairs reported by phone or email go onto the repairs board by hand, where they're assigned, tracked and closed.
