From enquiry to engagement

A form on your website files each enquiry as a lead with its source, and consultations booked online arrive as leads too, with the booking attached. A first consultation can be a service with its own price, and a video consultation carries the meeting link you paste in, shown as a Join meeting button in every email. When you take the client on, the lead becomes a client record with its files carried over — nothing retyped.

A board for every matter

Open each matter as a project linked to the client: cards for the steps, each with an owner, a deadline that turns amber, then red, and a comment thread. Time spent can be typed onto each card and is totalled per matter and per client — useful for knowing where the hours go, though ERPFlow has no timer and doesn't turn hours into invoice lines.

Documents with the matter, not in an inbox

Engagement letters, correspondence saved as EML or MSG files, and digitally signed ASiC-E or BDOC containers attach to the client, the matter's cards or the invoice, up to 50 MB a file. ERPFlow keeps the signed file exactly as it is; it doesn't sign documents or check signatures. Notes can be kept private to the person who wrote them.

Fees billed from the same record

Fixed fees and disbursements go on a numbered invoice with tax per line, in the client's language. A monthly retainer runs as a recurring invoice that's issued on its schedule, emailed or left as a draft for you to check. Payments are recorded as they arrive, part payments included, and an overdue invoice gets a reminder when you choose to send one.

Contact us
Can ERPFlow handle client trust or escrow accounts?
No. ERPFlow has no client-account ledger, no trust or escrow accounting and no reconciliation of money held for clients. It invoices your fees and records the payments against them; client money stays in the system you use for it today.
Can I keep a matter confidential from the rest of the firm?
Not per matter. Access in ERPFlow is set per role and per area — someone can be kept out of projects, invoices or staff records entirely — but anyone who can view projects sees every project, and anyone with client access sees the whole client list. Notes can be private to their author. A firm that needs ethical walls between matters will find that a real gap.
Does ERPFlow track billable hours?
Not as billable hours. Time spent is typed onto project cards and totalled per matter and per client, but there's no timer or timesheet, and hours don't become invoice lines. Practices billing fixed fees and retainers manage well; a firm billing in six-minute units should keep its time-recording tool.
Does ERPFlow run conflict checks?
No. ERPFlow records your clients, not the other parties to a matter, so there's nothing to check a new instruction against. Conflict searches stay with the process or system you use for them now.
